Sites & clients have varying expectations in terms of reports from the system. GuardTek Post was built so that activity reports can easily be customized with a few clicks.
The incident & event modules are based on client-built templates that are completely adapted to your environment. The templates are composed of different sections, each having as many questions or fields as necessary.
If you are looking for a handheld incident reporting solution, please visit GuardTek Inspector.
Different question formats are available, determining the structure of valid responses:
- Yes / No
- Yes / No / Not Applicable
- List box (with your own values in list format)
- Text (with a MS Word™-like text editor)
- Date (date selectable from a pop-up calendar)
- Scale from 1 to 5
- Etc.…

You can build as many incident & event templates as you need. If you are looking for standardization, each of them can be duplicated to all your locations
Some fields can be defined as mandatory if necessary, and it’s also possible to allow reports to remain in “pending” status, to be finished within a specified time period.
As an example, a report of people trapped in an elevator will have to be completed within 3 days. The Officer fills in the part related to the failure (Elevator ID, # of people trapped, first response…) and leaves blank the part related to the repair (to be finished later). The other Officers are aware of the situation by frequently checking the pending reports module. If the pending status exceeds 3 days, as defined for this particular type of incident, you will be notified by email. This is a great tool to make sure that other contractors are meeting their Service Level Agreements.
For each template, you can define who should be the recipients of automatic notifications. Then, each time a new report is filed by our Officers, or in case of an update of a prior report, the report is sent to the recipient(s) by email (with a PDF attachment) and/or text message. Critical information is thus transmitted in real-time.
Incident report sent in real-time by text message, to your cell phone
For each incident template, as many recipients as you need can be defined for immediate information distribution by email & Blackberry
The Event Module is almost working the same way, with 2 differences:
- Schedulable event capability on a daily, weekly, monthly or annually basis (same concept as with Outlook™ periodicity)
- Reminders to all Officers about the incoming events, with automated notification to supervisors in case of delay.
Our event and incident modules offer real opportunity for standardization of information, especially in a multi-site environment, while guiding Security Officers by providing them with relevant information as they are filing a report. This way you are assured that they took the appropriate action at the right time.
